Guidelines & Procedures

Hours
CEPSR is open from Monday to Friday from 8:30 a.m. to 5:30 p.m. It is closed on weekends and holidays.

Off-Hours Access
Events scheduled out of CEPSR building hours (see above), require contact with Security for special access arrangement and coverage. These measures are organized through John Murolo (212) 854-6797.

Space Use Fees
For Engineering School events, there is no charge for the usage of space. For other CU departments, the hourly charges (with a minimum of a 2 hour charge) breakdown as follows: Davis Auditorium - $125/hr; Room 414 - $45/hr; Carleton Cafeteria - $90/hr.

Outside organizations and students are required to go through an academic department and sponsor in order to reserve our rooms.

Cancellations
The Dean's Office must be notified of any cancellations at least one week in advance. Failure to do so will result in a 20% charge of the total cost of the reservation for fee-paying users and a warning for non-fee paying departments and organizations. To cancel room reservations send e-mail to Tracy Lang tl2284@columbia.edu.

After three such incidents both fee-paying and non fee-paying users will lose the privilege of reserving space for 10 academic weeks.

Keys
The keys to the reserved space should be picked up prior to the event from the Dean's Office, 510 Mudd. Our office hours are Monday to Friday, 9 a.m. to 5 p.m. Keys will only be provided in exchange for a valid I.D.

Food & Beverage
Any event involving the service of beverages or food MUST be filed with Facilities, for clean-up purposes, at least two weeks prior to the event. Housekeeping service can be arranged with special events/facilities (212) 854-8607. A copy of this completed facilities request, which can be obtained through their office, must also be supplied to the Dean's Office.

Audio Visual Services
A wide range of equipment setups ranging from laptop computers, video conferencing to sound amplification can be arranged through Columbia University's Audio Visual Services at (212) 854-3189 or audiovisual@columbia.edu.
